1. Personal Data We Collect

We collect data to operate effectively and provide you the best experiences with our products. We collect it some of it by recording how you interact with our products by, for example, using technologies like cookies, and receiving error reports or when you contact us directly. We do not obtain data from any third parties.

One-time data collection during product registration:
  • Name and Email of the admin user for product registration
  • Domain Name
  • IP address (a number assigned to your computer when you use the Internet) Name of your internet service provider
  • Your location, City, Region, Country, Zip Code & Time zone.
Also, we collect following additional information:

  • Date and time of your visit
  • Pages you visited, and how many “hits” a particular item is receiving and links “clicked”
  • Data relating to malfunctions or problems occurring when you use our add-ins
  • Data about your use of the add-ins, and particular features thereof, and how frequently you use them.
  • Data of admin users (who have access to the configurations and masters) of the add-in to reach out for the latest features, and payment renewal.

2. How We Use Personal Data

We use the data we collect to provide you the products we offer, which includes using data to improve and personalize your experiences. We also may use the data to communicate with you, during support consulting or troubleshooting sessions and sharing new product updates with you. However, we do not use what you say in email, chat, video calls or voice mail, or your documents, photos or other personal files to target third party ads to you. As you are our valuable customer, we may use your organization name and logo on our customer list.

3. Do we share Personal Data?

We do not share your personal data with Advertisement providers or any third parties.

4. How to Access & Control Your Personal Data?

You can also opt out from receiving advertising emails from us by clicking the unsubscribe link in our emails.

5. Opt-out

  • You have the right to revoke your consent for collection and use of your personal information at any time by notifying ProcureKey via email at contact@procurekey.com
  • Control of Personal Data: You have control over your personal data and how we collect, use and share personal data that you have provided to us. You can request a copy of the personal data you provided to ProcureKey.
  • Retention of Data: ProcureKey will retain personal data you provide us as long as we need it to provide Services related to you. If you ask to delete your personal data with ProcureKey. ProcureKey will initiate deletion of this data after 30 days. Please note: there may be some latency in deleting this data from our servers and storage and we may retain this data if necessary to comply with legal obligations, resolve disputes or enforce ProcureKey’s agreements.
  • ProcureKey retains search queries, metadata, and user-generated content submitted through products leveraging AI for as long as it is necessary to fulfill the purposes for which the data was collected, including for the purposes of providing services, complying with legal obligations, resolving disputes, and enforcing our agreements.
  • ProcureKey will also comply with any data retention policies specified by your organization regarding the data stored in SharePoint or other integrated knowledge bases. Upon termination of your organization’s subscription to product, ProcureKey will delete or anonymize your data in accordance with our internal data retention policies, unless otherwise required by applicable law.

6. Modifications to Information

We strive to maintain the accuracy of any personal data that may be collected from you, and will use our commercially reasonable efforts to respond promptly to update our database when you tell us the data in our database is not accurate. It is your responsibility to ensure that such data is accurate, complete and up-to-date. You may obtain from us, by e-mail the registration data in our records and/or files. Data will be updated as soon as reasonably practicable.

7. How do we protect visitor information?

Our website and ProcureKey modules are scanned on a regular basis for security holes and known vulnerabilities in order to make your visit to our site as safe as possible. We use regular Malware Scanning. If you suspect unauthorized access to your data, please contact ProcureKey.

User Responsibility for Security

You are responsible for ensuring that your organization’s SharePoint, Azure, and related systems are properly secured and configured according to best practices. ProcureKey disclaims any liability arising from vulnerabilities or security breaches originating from your internal systems or configurations.

8. Third Party Disclosure?

We do not include or offer third party products or services on our website and modules.

Internal Data Sharing

Product leveraging AI are designed to interact with your organization’s internal knowledge base, including SharePoint and other data repositories. As part of its operation, AI products may access and share internally stored data to provide answers to user queries. Beyond Intranet will never share this data with third parties unless explicitly authorized by your organization or required by law. Internally shared data is governed by the access controls and permissions established within your organization’s SharePoint and other integrated systems.

External Data Sharing

Beyond Intranet does not share personal or organizational data processed through AI product capability with any external parties, except in the following circumstances:

  • With Your Consent: We may share data with third parties if you provide explicit consent.
  • Legal Requirements: We may disclose your data to comply with applicable laws, regulations, or legal processes, or to respond to lawful requests by public authorities.
    In the case of trial users of AI products, Beyond Intranet may use aggregated and anonymized data for the purpose of evaluating the functionality and performance of the trial version. However, no personally identifiable or organizationally specific information will be shared with third parties during or after the trial period.
